Overview of Workflow Builder

The Workflow Builder helps you automate and manage different stages of the recruitment process in Hirin.ai.

After logging in:

Click on Jobs from the left-hand menu
You will be redirected to the Jobs page
Click on Create Job
Add job details by uploading a job description or using Zena
Select the relevant Client, LOB, or Department

Workflows in Hirin can be fully customized to match your hiring needs.
To create or modify workflows, please reach out to your Hirin.ai point of contact (POC).

Selecting a Workflow

Go to Interview Builder > Workflow Builder.
Click “Select Workflow” at the top-left.
A dropdown list of available workflows will open.
Use the search bar to find a workflow if needed.
Click on the workflow you want to use.
The selected workflow will load and display its steps on the right side.

Attached are two sample workflows for your reference :

Workflow 1:

This workflow is suitable for detailed or technical hiring.

This workflow is suitable for structured hiring with automated screening and interview evaluation.

It includes the following steps:

Start When: New Candidate Applied
CV Screening (Automatic)
AI Recruiter Screening (Whatsapp / AI Call)
Invite Candidate for AI Video Interview
Hiring Manager Round
End

This setup ensures candidates go through automated CV screening, AI recruiter screening, AI-powered video interviews, and Hiring Manager evaluation before final selection.

Workflow 2:

This is a simpler workflow created for faster or basic hiring processes.

It includes:

Start When: New Candidate Applied
CV Screening
AI Recruiter Screening
HM Round
End

This flow focuses on basic screening followed by a direct discussion with the hiring manager.

AI Recruiter Screening Configuration :

Recruiters can enable WhatsApp Screening and/or AI Call Screening during workflow setup.

You can choose:

WhatsApp Screening
AI Call Screening
Or both channels together

If both are selected:

WhatsApp Screening is triggered first
If there is no response, an AI Call is initiated automatically

AI call reminders are sent between 9:00 AM – 9:00 PM (configurable).

Recruiters can also:

Select predefined screening criterias
Configure screening criteria and auto-rejection settings

When Auto-Rejection is enabled:

Candidates who do not meet the defined criteria are automatically filtered out during screening.

All call recordings, transcripts, and WhatsApp logs will be available in the Screening Summary tab.

The selected screening template and criteria will be automatically applied to the job workflow.

Hiring Manager Selection :

To assign a Hiring Manager in the workflow:

Click on the step: “Schedule HM Round with – Select Hiring Manager(s)”
A panel will appear on the right showing available Hiring Managers
Select the appropriate manager using the radio button

Optional:

Upload a feedback form for the Hiring Manager to complete after the interview
Click Select to save your choice.

Once configured, the workflow will automatically schedule the Hiring Manager round with the selected person.
